SUMMARY:
The Receiving Specialist is a professional who ensures the seamless flow of goods into our luxury hotel, maintaining the highest standards of quality control and operational efficiency. This role is responsible for all incoming products, from premium ingredients for our restaurants to high-end amenities for our guests. The Receiving Specialist's attention to detail and proactive approach will support the hotel's flawless experience behind the scenes. By delivering impeccable service , the Receiving Specialist will uphold La Bahia Hotel & Spa's service standards (inspired by Forbes) while elevating our beachfront property.
DUTIES/RESPONSIBILITY:
Inspect all incoming shipments (food, beverage, linens, FF&E, and operational supplies) for quality, accuracy, and compliance with hotel standards
Review shipments and document discrepancies with vendors
Ensure proper temperature control for perishables and HACCP compliance
Accurately record deliveries in inventory systems (e.g., Birchstreet, Oracle)
Label, date, and organize items for efficient storage and FIFO rotation
Maintain meticulous receiving logs and backup documentation
Serve as the primary point of contact for suppliers and delivery personnel
Communicate promptly with department heads (e.g., Executive Chef, Housekeeping) regarding arrivals/shortages
Schedule deliveries to minimize operational disruptions
Verify that branded packaging and premium products meet visual/quality expectations
Ensure proper handling of high-value items (e.g., crystal glassware, designer linens)
Identify opportunities to reduce waste and optimize storage
Assist with month-end inventory counts
Maintain impeccable grooming standards, wearing the assigned uniform exactly as specified (proper fit, cleanliness, and presentation at all times
Wear the official hotel lapel pin prominently as part of the uniform requirement, unless embroidered onto uniform
Performs other duties as assigned by manager

QUALIFICATIONS: (2/3) years in receiving role, with luxury hotel/resort strongly preferred
Ability to lift up to 50 lbs. and operate pallet jacks
Comfort working varying temperature environments
Proficiency in inventory management software and Microsoft Office
Strong math and organizational skills
Ability to work in fast-paced environment
Proficient in English, multilingual preferred
Experience using different tracking systems
Ability to stand and walk for extended periods
Exceptional attention to detail
Strong problem-solving abilities
Excellent time management skills
Effective communication skills
Flexibility to work varying schedules that includes weekends and holidays
